Privacy Policy

FFA Employee is a workforce application provided by Fertis India Private Limited (“Fertis”, “we”) to its own employees and authorised field staff. Accounts are created by your employer's administrator — the app is not offered to the general public and does not allow self sign-up. This policy explains what the app collects and why.

Information we collect

• Profile & employment data — name, employee code, phone, email, designation, department, reporting structure, and work assignments, as maintained by your employer.
• Location — the app records GPS location only during your work day, between punch-in and punch-out, to build your day-track (route, distance) used for visit verification and travel-allowance (TA/DA) claims. Tracking requires your explicit in-app consent, is fully off outside working hours and on leave/off days, and can be reviewed in the app (Profile → GPS tracking). Background location is used so the day-track continues while your phone is locked during the work day.
• Camera — used to scan product QR codes and to capture photos you attach (receipts, farm photos, profile photo).
• Microphone — used only when you tap the voice input button, to convert your speech to text for notes and commands. Voice processing runs on the device.
• Photos — only the images you explicitly pick when attaching a photo (e.g. profile photo, expense receipt).
• Work records — the visits, meetings, expense and travel claims, attendance, tasks and forms you submit through the app.

What we do NOT collect

• No advertising identifiers, no ad tracking.
• No sale or sharing of personal data with third parties.
• No location collection outside the consented work-day window.
• No access to your contacts, messages, or call logs.

How the data is used

Data is used solely for legitimate employment purposes: attendance and field-work verification, travel/expense reimbursement, sales and agronomy operations, and statutory record-keeping. Access is role-restricted (e.g. finance staff see travel claims; managers see their team). Data is processed on Fertis-controlled infrastructure hosted on Microsoft Azure (India region) and transmitted over encrypted (HTTPS) connections.

Retention & your rights

Records are retained for the period required by company policy and Indian statutory requirements (e.g. financial records for audit). You may request a copy of your data from the app (Profile → Data & privacy → Export my data). For corrections, questions, or deletion of your account and associated personal data when you leave the organisation, contact your tenant administrator or write to us at the address below — requests are honoured within 30 days, subject to statutory retention duties.
